Terms of Service
Last updated: September 12, 2026
1. Acceptance of Terms
By clicking "Join," creating an account, or using the Service, you accept these Terms and agree to be bound by them. If you do not agree with any part of these Terms, do not access or use the Service. If you use the Service on behalf of a team, league, or other organization, you represent that you have the authority to bind that organization to these Terms.
2. Eligibility and Accounts
You must be at least 18 years of age to create an account and to act as a team manager. Parents, guardians, and other adult family members may create accounts to participate in a team. You are responsible for the accuracy of the information you provide, for safeguarding your login credentials, and for all activity that occurs under your account.
3. The Service
Sideline HQ provides tools for organizing youth sports teams, including schedules, RSVPs, and weather forecasts for events; roster, staff, and family management; announcements, team chat, polls, and private direct messages; snack duty and volunteer coordination; photo and video galleries; practice planning; game day tracking with a live scoreboard; an optional AI-assisted schedule import, in which a schedule photo you submit is processed by a third-party AI provider and the extracted event details are reviewed by you before events are added to your team's schedule; content reporting; and season archiving. The Service is currently offered free of charge during its beta period. We may add, change, or remove features at any time.
4. Acceptable Use
You agree not to use the Service to:
- violate any applicable law or regulation;
- harass, bully, threaten, or intimidate any person;
- post content that infringes the intellectual property or privacy rights of others;
- submit personal information about any person — particularly a minor — without that person's parent's or guardian's consent;
- impersonate any person, or misrepresent your affiliation with any team or organization;
- interfere with or disrupt the Service, including through automated access or scraping; or
- transmit malware or other harmful code.
You are solely responsible for the content you post and for the accuracy of the information you submit, including game times, locations, scores, and allergy or dietary notes. When you use the schedule photo-import feature, the schedule image you submit — including anything visible in the photo — is sent to a third-party AI provider for processing; do not include personal information in the photo beyond what is needed to read the schedule.
5. Content Reporting and Moderation
You can use the in-app reporting tool to flag messages, announcements, photos, or videos that you believe violate these Terms. When you submit a report, the Service collects a short snapshot of the reported content, the reason for the report, and your name and email address. Reports are shared with your team's managers and administrators for review, and with the platform operator if you escalate a report to us. You can view the status and outcome of reports you submit in the app.
We and your team's managers review reports in good faith, but we are not obligated to take action on every report and may decline to act where we reasonably believe a report is unfounded. Submitting reports you know to be false, or using the reporting tool to harass or retaliate against another user, violates these Terms and may result in suspension or termination of your account.
The reporting tool is not an emergency or safety-monitoring service, and no one is watching reports around the clock. If you or someone else is in danger, contact local law enforcement or emergency services immediately.
6. Invitations and Email Communications
Team managers and parents may use the Service to send invitations and notifications to others by email. We may send invitations and notifications to email addresses that are not registered with the Service. Delivery to such addresses is not guaranteed and may be subject to filtering, screening, or rejection by email providers or by our delivery systems.
You can manage your reminder and notification preferences in Settings and may opt out of non-transactional communications. You cannot opt out of essential service messages, such as account verification and security notices.
7. Youth Data and Parental Consent
The Service is intended for use by adult team managers, coaches, and parents or guardians — not by children. Player records may include limited information about minors (such as name, jersey number, position, allergy or dietary notes, and photos), which is supplied by a parent or guardian, or by a team manager with a parent's permission. By adding information about a minor, you represent that you have the consent and authority of that child's parent or guardian to do so.
Parents and guardians may request correction or removal of their child's information at any time by contacting us at playbookplanners@gmail.com or by removing the player in the app.
Allergy and dietary notes are collected solely for snack planning purposes. They must not be relied upon as medical records — always independently confirm a child's dietary restrictions with their parent or guardian.
8. Your Content
You retain ownership of the content you submit to the Service ("Content"), including photos, messages, and roster information. You grant us a limited, non-exclusive, revocable license to host, store, reproduce, and display your Content solely as necessary to operate the Service (for example, displaying team photos to members of your team). Removing your Content or deleting your account terminates this license, except where retention is required for legal or legitimate record-keeping purposes.
9. Third-Party Services
The Service integrates with third-party providers — including Google and Apple for sign-in and Stripe for payment processing — and is hosted on a third-party platform. Those third parties operate under their own terms and privacy policies, and we are not responsible for their practices. Your use of any third-party service is solely between you and that provider.
10. Subscriptions and Billing
The Service is currently offered free of charge during its beta period. If paid subscriptions are introduced, the applicable fees, billing terms, and cancellation rights will be presented to you before purchase, and payments will be processed by Stripe. We may change our pricing prospectively upon reasonable notice.
11. Availability, Modification, and Termination
We do not guarantee that the Service will be available without interruption, and we may modify, suspend, or discontinue any part of the Service at any time. We may suspend or terminate accounts that violate these Terms. You may stop using the Service and delete your account at any time from Settings. On account deletion, your personal information is removed or anonymized as described in our Privacy Policy.
12. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. We do not warrant that schedules, scores, RSVPs, or other data displayed in the Service are accurate or complete, or that the Service will be error-free or secure. The Service is not a medical, emergency, or child-safety service.
13. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL FLORISH USA BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, LOST DATA, OR LOSS OF GOODWILL, ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO FLORISH USA FOR THE SERVICE IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM.
14. Indemnification
You agree to indemnify and hold harmless Florish USA and its affiliates, officers, employees, and agents from any claims, liabilities, damages, and expenses (including reasonable attorneys' fees) arising out of your Content, your use of the Service, your violation of these Terms, or your violation of any law or the rights of any third party.
15. Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of Florida, without regard to its conflict-of-laws principles. The parties agree to attempt in good faith to resolve any dispute by contacting us at playbookplanners@gmail.com before initiating legal proceedings. Any legal action arising out of or relating to the Service shall be brought exclusively in the state or federal courts located in Florida.
16. Changes to These Terms
We may update these Terms from time to time. Material changes will be reflected by the "Last updated" date above. Your continued use of the Service after changes take effect constitutes your acceptance of the updated Terms.
17. Contact Us
