Privacy Policy

1. Information We Collect
Account information. When you create an account, we collect your name and email address. If you sign in with Google or Apple, those providers share your basic profile information with us.
Team information you provide. To organize a team, users submit information such as player names, jersey numbers, positions, parent or guardian names and contact details, allergy or dietary notes (for snack planning), staff and volunteer details, schedules, RSVPs, messages, polls, and photos.
Usage information. We collect technical information about how the Service is used, such as device type, browser, and interactions with the Service, through our hosting platform and analytics tools.
Content reports. The Service lets users report messages, announcements, photos, and videos that may violate our Terms. When you submit a report, we collect the reason and any details you provide, a short snapshot of the reported content, your name and email address, and the date and time of the report.
Feedback. The Service includes a 'Rate & Feedback' form, which collects your name, email address, the category and rating you select, and your message. Feedback submitted about a team is visible to that team's managers; feedback submitted to us generally is visible to the platform operator.
Weather forecasts. To display a weather forecast for an upcoming event, the Service sends the event's location and date to a third-party AI provider, which retrieves the forecast. Only the location and date are shared for this purpose — no other team data is sent.
Schedule photo import. The Service includes an optional feature that lets a team manager or administrator create schedule events from a photo of a schedule. If this feature is used, the schedule image is sent to a third-party AI provider, which analyzes the image to extract event details such as dates, times, opponents, and locations. The extracted details are shown to the user for review and editing before any events are created — nothing is added to the team's schedule unless the user confirms it. Schedule images are stored in private storage and are visible only to signed-in members of the team, as described in Section 5.
2. How We Use Your Information
- to provide and operate the Service, including team schedules, rosters, RSVPs, and messaging;
- to send invitations, event reminders, RSVP requests, snack duty and volunteer reminders, and other notifications related to your team;
- to authenticate you and keep your account secure;
- to respond to your questions and support requests;
- to monitor for abuse or misuse of the Service; and
- to improve, maintain, and develop the Service.
3. How We Share Information
Sideline HQ is built around team-based access: information you submit about a team (such as the roster, schedule, messages, and photos) is visible to other members of that team. Team managers and administrators can see more team information than regular members, and a player's parent contact and allergy details are additionally restricted to that player's parent, the team's managers, and administrators.
We do not sell your personal information. We share information only with service providers that help us operate the Service — including our hosting platform, Stripe (payment processing), and Google and Apple (sign-in) — and only as needed to perform their functions. We may also disclose information if required by law or to protect the rights, property, or safety of our users or others.
The schedule photo-import feature shares information with a third-party AI provider in a way most of the Service does not: when a manager or administrator uses it, the schedule image they submit is sent to that provider so event details can be extracted from it. The image is shared only for this purpose. We do not control whether the provider retains submitted images or uses them to train its models; the provider's handling of submitted content is governed by its own privacy policy.
Content reports are visible to your team's managers and administrators so they can review and address the reported content. If you choose to escalate a report directly to us, it is also visible to the platform operator (Florish USA). You can view the status and outcome of reports you have submitted — including the explanation if a report is dismissed — in the app.
Private (direct) messages are visible only to the sender and the recipient. Team managers and other members cannot read your direct messages. The only exception is content reporting: if a direct message is reported, a short snapshot of its content is shared with the team's managers and administrators (and with the platform operator if the report is escalated) so the report can be reviewed without giving managers access to the conversation itself.
4. Youth and Child Data
Players whose information is stored in the Service are minors, but the Service itself is operated for and used by adults — team managers, coaches, and parents or guardians. We never knowingly collect information directly from children. Player information is provided by a parent or guardian, or by a team manager with a parent's permission, and we limit what is collected about players to what is needed to run a team.
Allergy and dietary notes are collected and used solely to help families plan snacks, and are visible only to the player's parent, team managers, and administrators. Parents and guardians may request correction or deletion of their child's information at any time by contacting us at playbookplanners@gmail.com or by removing the player in the app.
5. Photos and Media
Photos and videos you upload — including team gallery media and photos attached to player, staff, family member, and volunteer profiles — are stored in private storage and displayed through short-lived, expiring access links that are issued only to signed-in members of your team. Media is not publicly accessible. Team managers can remove any media item, and uploaders can remove their own. If you would like a photo of you or your child removed, you may remove it in the app, ask your team manager to remove it, or contact us at playbookplanners@gmail.com.
6. Data Retention and Deletion
We retain your information for as long as your account or team is active, or as needed to provide the Service. When you delete your account, we remove or anonymize the personal information associated with it. Some non-personal team records (such as season win/loss summaries) may be retained for the team's historical archive. When a team manager deletes a team, all associated data is permanently deleted.
7. Email Communications
The Service sends transactional and team-related emails, including invitations, event reminders, RSVP requests, and snack duty and volunteer reminders. We may send invitations and notifications to email addresses that are not registered with the Service; delivery to such addresses is not guaranteed and may be subject to filtering, screening, or rejection by email providers or by our delivery systems.
You can manage which notifications and reminders you receive in Settings. You cannot opt out of essential service messages, such as account verification and security notices.
8. Third-Party Services
The Service is hosted on a third-party platform and integrates with Stripe (payment processing), Google and Apple (sign-in), and a third-party AI provider (which retrieves weather forecasts for events and analyzes schedule images submitted through the photo-import feature, as described above). These providers process information under their own privacy policies. We do not knowingly share your information with any other third parties except as described in this Policy.
9. Data Security
We use reasonable administrative, technical, and physical safeguards — including encryption in transit and access controls that restrict team data to members of that team — to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your Rights and Choices
You may access and update much of your information directly in the app. You may also request access to, correction of, or deletion of your personal information by contacting us at playbookplanners@gmail.com, or delete your account at any time from Settings. You can control email notifications and reminders in Settings.
11. No Sale of Personal Information
We do not sell or rent your personal information to anyone. We do not use your personal information for targeted advertising.
12. Children's Privacy Protections
Because the Service collects only limited information about minor players — provided by adults — we do not create profiles of children, do not contact children directly, and do not knowingly allow children to create accounts. If you believe information about a child was provided without proper consent, contact us at playbookplanners@gmail.com and we will remove it.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date above. Your continued use of the Service after changes take effect constitutes your acceptance of the updated Policy.
14. Contact Us
If you have any questions about this Privacy Policy or how your information is handled, contact Florish USA at playbookplanners@gmail.com.
